1. Overview
IMAGE MIAMI operates a visual media platform and related photography, portrait, event coverage, gallery, gift invitation, booking, media publishing, and promotional services. This Privacy Policy explains how IMAGE MIAMI collects, uses, stores, shares, and protects personal information when you visit our website, submit a form, request or book a shoot, purchase or receive a gift invitation, access an online gallery, interact with advertising or social media content, communicate with us, or otherwise use IMAGE MIAMI services.
This Privacy Policy is intended to be read together with our Terms of Service, Cookie Policy, Booking Terms & Service Agreement, Photo Usage Rights, Photo Release, Gift Certificate Terms, and Event Photography Notice, where applicable.
IMAGE MIAMI is based in Florida, United States. Our website and services may be accessed by users in other U.S. states and outside the United States. Where required, we handle personal information in accordance with applicable privacy laws. Nothing in this Privacy Policy limits rights that cannot be limited under applicable law.
2. Information We Collect
We may collect information that you provide directly to us, including your name, email address, phone number, company or organization name, event details, booking preferences, shoot type, location preferences, scheduling information, messages submitted through forms, and other information you choose to provide.
For business portraits, event coverage, partnership pages, organizer requests, and media features, we may collect professional information such as title, role, company, website, social media links, public profile links, guest names, speaker names, sponsor names, organizer details, and other information needed to coordinate, prepare, publish, or present IMAGE MIAMI content.
For gift invitations or gift certificate experiences, we may collect information about both the purchaser or gift giver and the recipient, including names, contact details, gift message, selected experience, invitation status, scheduling preferences, booking status, and related communications.
For online galleries, we may collect or process gallery access information, download preferences, access permissions, protected-access status, technical logs, and records related to whether downloads are enabled for a specific gallery. Some galleries may be public, unlisted, password-protected, or otherwise access-controlled depending on the shoot, client request, organizer request, or IMAGE MIAMI settings.
When you interact with our website, online ads, emails, social media pages, booking pages, gift invitation pages, galleries, or other digital content, we may automatically collect technical and usage information such as device type, browser type, IP address, approximate location derived from IP address, pages viewed, referral source, campaign source, session information, cookie identifiers, advertising identifiers, analytics events, conversion events, and similar usage data.
We may collect photographs, videos, likenesses, names, captions, credits, tags, and related media content created during sessions, events, business portrait shoots, public event coverage, private shoots, partnership features, or other IMAGE MIAMI services.
If IMAGE MIAMI provides face-based gallery search, face grouping, smart media organization, or similar features, we may process facial features or similar media-derived information from photographs and videos to help organize galleries, locate images, improve gallery navigation, support client experience, and manage media delivery. Depending on the technology used and the laws that apply, this information may be considered biometric information, biometric identifiers, or sensitive personal information in some jurisdictions. IMAGE MIAMI uses these features only for media organization, gallery experience, editing workflow, delivery, security, and related service purposes, unless we clearly state otherwise and obtain any required consent.
3. How We Use Information
We use personal information to respond to inquiries, process booking requests, coordinate shoots, select and assign photographers, videographers, editors, or other creative professionals, prepare quotes, manage deposits and payments, deliver galleries, provide downloads where enabled, support gift invitation workflows, and operate our website and services.
IMAGE MIAMI makes the final decision regarding the photographer, videographer, editor, or creative professional assigned to a shoot unless a specific arrangement is expressly confirmed by IMAGE MIAMI in writing.
We use event, organizer, guest, sponsor, and professional information to prepare galleries, publish event coverage, identify featured guests where appropriate, create media features, coordinate with organizers, and support the presentation of IMAGE MIAMI content.
We use photographs, videos, likenesses, and related media to deliver contracted services and, where permitted by applicable terms, release, event notice, client agreement, organizer agreement, or law, to showcase IMAGE MIAMI work on our website, portfolio, social media, editorial features, articles, partnership pages, promotional materials, advertising, and marketing content. If a private session or specific shoot requires no public use, that limitation must be requested before the shoot and confirmed by IMAGE MIAMI in writing.
We use analytics, advertising, and conversion information to understand website performance, measure traffic, evaluate marketing effectiveness, improve pages, diagnose technical issues, improve user experience, attribute inquiries or bookings to campaigns, optimize advertising, and understand how visitors interact with IMAGE MIAMI online.
We may use trusted software tools, automation, artificial intelligence, face-based search, face grouping, or similar creative technologies to organize media, support editing workflows, improve gallery navigation, find images within a shoot, prepare galleries, and improve client experience. These tools are used to support IMAGE MIAMI services and are not intended to make legally significant decisions about clients, guests, gift recipients, organizers, or event attendees.
We use information to protect the security and integrity of our website, galleries, admin areas, booking systems, payment flows, and communications, including preventing unauthorized access, abuse, fraud, or misuse.
4. Cookies, Analytics, Advertising, and Tracking Technologies
IMAGE MIAMI uses cookies and similar technologies for website operation, security, session management, gallery access, analytics, advertising, conversion measurement, performance measurement, and user experience.
We may use Google Tag Manager, Google Analytics 4, Google Ads, Meta Business Tools, Meta Pixel, and similar analytics, advertising, retargeting, conversion tracking, and audience measurement tools. These tools may use cookies, pixels, tags, scripts, local storage, device identifiers, or similar technologies to collect information such as pages viewed, referral source, campaign source, device and browser information, approximate location, interaction events, booking form interactions, gift invitation interactions, gallery visits, clicks, and conversion events.
We may use advertising and remarketing tools to measure campaign performance, understand which ads or channels generate inquiries or bookings, improve marketing, create or manage audiences, show relevant IMAGE MIAMI ads to people who have visited or interacted with IMAGE MIAMI online, and limit or optimize ad delivery.
We do not intentionally send payment card numbers, passwords, or sensitive personal information to analytics or advertising platforms. Visitors should not submit sensitive information through open text fields unless specifically requested.
We may use necessary cookies for secure sessions, protected gallery access, admin access, form functionality, fraud prevention, and website functionality. Some cookies are essential for the website or gallery features to work properly.
If you are located in a jurisdiction that requires consent before non-essential analytics, advertising, or marketing cookies are used, IMAGE MIAMI may provide a cookie notice, consent banner, or preference center. Until such controls are available, visitors can control cookies through browser settings and may choose not to use the website if they do not agree with the use of cookies.
More detail is provided in our Cookie Policy.
5. Advertising Platforms and Social Media
IMAGE MIAMI may use advertising platforms and social media services, including Google, Meta platforms such as Facebook and Instagram, and other advertising or marketing partners. These services may collect or receive information from our website and elsewhere on the internet and use that information to provide measurement services, show ads, personalize or limit ad delivery, detect fraud, and improve their services according to their own terms and privacy policies.
If you interact with IMAGE MIAMI on social media, message us through social platforms, click our ads, view our pages, or engage with our content, the relevant platform may collect and process information according to its own policies. IMAGE MIAMI does not control how those platforms process information outside our own use of their business tools.
Where available, you may manage advertising preferences through your browser, device, platform account settings, Google ad settings, Meta ad settings, cookie preference tools, or legally recognized opt-out mechanisms.
6. Payments
If you make a payment, deposit, booking payment, or gift invitation purchase, payment information may be processed by third-party payment providers such as Stripe or other payment processors. IMAGE MIAMI does not need to store full payment card numbers on its own website systems. Payment providers process payment information according to their own terms and privacy policies.
We may keep transaction records, invoice information, payment status, booking status, gift invitation status, and related communications for business, tax, accounting, dispute resolution, and legal compliance purposes.
7. Storage, Hosting, and International Processing
IMAGE MIAMI may store or process information using cloud hosting, storage, analytics, communication, backup, advertising, CRM, workflow, and operational providers. This may include providers such as Cloudflare, Google, Meta, Telegram, Vercel, payment processors, email providers, CRM or dashboard providers, scheduling tools, and other service providers used to operate the website and services.
Client information, galleries, photographs, media files, booking records, gift invitation information, advertising or analytics records, and related data may be stored in cloud infrastructure that can be located in the United States, Europe, or other regions, depending on provider architecture, configuration, backup, routing, and service availability.
By using IMAGE MIAMI services, submitting information, accessing galleries, or purchasing a service, you understand that your information may be processed in the United States and other countries where our service providers operate. Those countries may have privacy laws that differ from the laws of your location.
8. Telegram, Email, CRM, and Operational Notifications
When you submit a form, booking request, gift invitation request, partnership inquiry, photo removal request, or similar message, certain information may be sent to IMAGE MIAMI by email, Telegram, dashboard notifications, CRM tools, lead management tools, or other operational systems so that we can respond and manage requests efficiently.
Information sent through third-party communication or workflow tools is handled according to the privacy and security practices of those providers. IMAGE MIAMI uses these tools for operational purposes and does not authorize such providers to use submitted information for their own unrelated marketing.
9. Online Galleries and Downloads
IMAGE MIAMI may deliver photographs and related media through online galleries. A gallery may be public, unlisted, password-protected, or otherwise access-controlled depending on the shoot type, client request, organizer request, or IMAGE MIAMI settings.
Some galleries may allow downloads, including individual downloads or ZIP archives, while others may be view-only. Download availability may vary by shoot, package, client agreement, organizer agreement, or IMAGE MIAMI settings.
Password protection and access controls provide an additional layer of protection but cannot guarantee that a gallery link, password, screenshot, downloaded file, or shared image will not be further shared by someone with access. Clients and organizers are responsible for sharing gallery links and access details carefully.
10. Face-Based Search, AI, and Media Organization
IMAGE MIAMI may offer or use face-based search, face grouping, image matching, media organization, automated sorting, editing assistance, artificial intelligence, or similar tools to help users and IMAGE MIAMI locate, organize, prepare, and deliver photographs and galleries.
These features may analyze visual characteristics in photographs or videos, including facial features, to group similar faces within a gallery or shoot, help a guest or client find images in which they may appear, assist with editing workflow, reduce duplicate content, improve gallery navigation, or support media delivery. IMAGE MIAMI does not use these tools to determine a person's legal identity, verify identity for financial or governmental purposes, make eligibility decisions, or provide law-enforcement identification services.
IMAGE MIAMI does not sell face templates, facial feature data, or biometric information. IMAGE MIAMI does not use face-based gallery search data for third-party advertising targeting. Advertising and analytics tools should not receive payment card numbers, passwords, or intentionally submitted sensitive information from IMAGE MIAMI.
Face-based gallery features may be optional, limited to certain galleries, enabled only for certain shoots, or unavailable for some galleries. Public event galleries may include images of attendees, and private galleries may include additional access controls. Password protection, limited links, or download restrictions are additional safeguards, but they do not guarantee that an authorized viewer will not copy, screenshot, download, or share media.
If you want IMAGE MIAMI not to use face-based search or similar features for a private session, or if you want specific images restricted, you should contact IMAGE MIAMI before the shoot or as soon as possible after publication. IMAGE MIAMI will review requests to remove, restrict, or disable certain uses where reasonably possible, subject to applicable law, technical limitations, event context, organizer rights, editorial uses, previously delivered files, and existing agreements.
11. Public Events, Private Sessions, and Media Features
IMAGE MIAMI covers different types of shoots, including public events, private events, business portraits, editorial features, partnership features, proposals, birthdays, and other personal or commercial sessions.
Public or semi-public event coverage may involve photographing attendees, organizers, speakers, sponsors, guests, venues, and event moments. Images from public events may be published in online galleries, editorial coverage, social media, portfolio materials, promotional materials, advertising, or partnership pages, subject to applicable law and our Event Photography Notice.
Private sessions may receive a higher level of privacy depending on the nature of the shoot, client request, written agreement, and gallery settings. If a client wants a session or specific images to remain private or not be used publicly, that request must be made before the shoot and confirmed by IMAGE MIAMI in writing.
Organizers may provide guest, speaker, sponsor, or special guest information for event pages, galleries, or features. IMAGE MIAMI may review, edit, approve, decline, or update such information before publication.
12. How We Share Information
We may share information with service providers that help us operate the website and services, including hosting providers, cloud storage providers, payment processors, analytics providers, advertising platforms, email providers, communication tools, CRM or dashboard tools, photographers, videographers, editors, contractors, consultants, and other operational providers.
We may share information with organizers, venues, sponsors, partners, or clients when necessary to coordinate event coverage, galleries, guest information, publication details, content approvals, photo removal requests, or related services.
We may share information if required by law, subpoena, court order, government request, legal process, or to protect the rights, safety, property, or security of IMAGE MIAMI, our users, clients, partners, or the public.
We may share or transfer information as part of a business transaction, such as a merger, acquisition, restructuring, financing, sale of assets, or transition of business operations.
13. Your Choices and Requests
You may contact IMAGE MIAMI to request access to, correction of, deletion of, or restriction of certain personal information, subject to applicable law, business records, legal obligations, and technical limitations.
You may request removal or restriction of specific photographs from public IMAGE MIAMI galleries or promotional use. IMAGE MIAMI will review such requests and may remove, restrict, or decline removal depending on the context, applicable agreement, public event status, organizer rights, editorial use, legal obligations, already distributed materials, and other relevant factors.
You may opt out of non-essential marketing emails by using an unsubscribe link where provided or by contacting us. Operational emails related to bookings, payments, galleries, gift invitations, legal notices, or service communications may still be sent.
You may control cookies through browser settings, platform settings, device settings, ad preference tools, cookie preference tools where available, or legally recognized opt-out mechanisms.
14. U.S. State Privacy Rights
Depending on where you live and whether specific legal thresholds apply to IMAGE MIAMI, you may have privacy rights under state privacy laws, such as rights to access, correct, delete, obtain a copy of, or opt out of certain processing of personal information. These rights vary by state and may be subject to exceptions. Some states provide additional rights for sensitive personal information or for data created by facial recognition or similar technologies, including rights to opt out of certain processing where applicable.
If you are a California resident, you may have rights under the California Consumer Privacy Act as amended by the California Privacy Rights Act, including rights to know, delete, correct, and opt out of certain sharing or selling of personal information, depending on whether the law applies to IMAGE MIAMI and the relevant activity.
If a legally recognized browser or device privacy signal applies to IMAGE MIAMI and our processing activities, we will honor it to the extent required by applicable law.

15. International Visitors
If you access IMAGE MIAMI from outside the United States, you understand that your information may be processed in the United States and other countries. Where required by applicable law, we will rely on appropriate legal bases, safeguards, or consent mechanisms for processing personal information, cookies, analytics, advertising technologies, and cross-border transfers.
Visitors from the European Economic Area, United Kingdom, Switzerland, or similar jurisdictions may have rights to request access, correction, deletion, restriction, portability, or objection, subject to applicable law and exceptions. Non-essential analytics and advertising cookies may require consent where applicable.
16. Data Retention
We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide services, maintain galleries, manage bookings, support gift invitations, keep business and tax records, resolve disputes, enforce agreements, comply with legal obligations, maintain security, and preserve legitimate business records.
Photographs, videos, galleries, editorial features, partnership pages, promotional materials, and published content may remain available unless removed or restricted by IMAGE MIAMI, required by law, or agreed otherwise in writing.
17. Security
IMAGE MIAMI uses reasonable administrative, technical, and organizational measures designed to protect personal information, galleries, admin systems, and media assets. However, no website, cloud system, gallery, email, messaging system, or internet transmission can be guaranteed to be completely secure.
Users should protect gallery links, access details, passwords, and downloaded media carefully. IMAGE MIAMI is not responsible for unauthorized sharing by clients, guests, organizers, recipients, or other people who receive access from an authorized person.
18. Children
IMAGE MIAMI services are not directed to children under 13. We do not knowingly collect personal information directly from children under 13 without appropriate consent. Event photography, family sessions, private events, school-related events, or other services may include images of minors when arranged by parents, guardians, schools, organizers, or clients. If you believe a child has provided personal information directly to us without appropriate consent, contact us.
